Entering Grades with Endorsements

Specific Awards have associated Endorsements. i.e. exams with submitted papers/practical elements, and the Grade Entry Portal captures this information as part of the Grade Entry process. This section covers how to enter Endorsement information and submit it as a Centre User.

The Endorsement Grade is at Award-level. Consequently, it is possible that for a Subject with multiple Awards, that one Award may have an Endorsement Grade, while the other might not. In that case, the Endorsement Grade drop-down list is enabled for the former but not for the latter scenario.

To enter an Endorsement as part of the Grade Entry process, follow these steps:

Note: The drop-down lists in the Allocations section relate to those that are applicable to you.

  1. On the Grade Entry screen, in the Allocations section, select the relevant Qualification from the Qualifications drop-down list. This selection filters your available Subjects,
  2. Select the relevant Subject from the Subject drop-down list.

Centre User - Subjects

The Grade Entry screen refreshes and displays the relevant Candidates based on your selection, and when the specific Subject has an Endorsement Gradeset included in the data provided, the Endorsement Grade column is displayed. The pagination of the screen enables the first 50 rows to be edited, but there is the capability to view all of the rows. 

The screen can be re-ordered by clicking the column header names, and the default view is ordered by the Candidate Number. 

Note: It is important to mention that when the Grading column is ordered, 'A' is listed above 'A*' as strict alphanumeric ordering is enforced. Also, 'U' is listed below the 'No Submission' option.

You can also order the table by two fields, in other words, clicking the Grade and Rank column headers sequences the table by Grade/Rank order. For example, 'G9/R1'. 'G9/R2',' GR8/R1'.

The Status Bar shows the information:  X/Y Graded and   X/Y Ranked and Z Duplicates. The data is colour-coded, with red meaning that work is outstanding and green when all of the issues are resolved.

Centre User - Endorsements

  1. Enter the Grade and Rank as outlined in Selecting a Grade and Entering a Rank sections.
  2. Select the relevant record, click in the Endorsement Grade field that you want to enter an Endorsement for.
  3. From the Endorsement Grade drop-down list, select the appropriate Endorsement Grade. The drop-down list is pre-populated with the appropriate Endorsement Grades derived from the Award's Endorsement Gradeset

 The following table describes the meaning of pre-populated values in the  Endorsement Grade drop-down list:

Value Description
Not Applicable When a Subject has Awards that require Endorsements, but a specific Award within that Subject does not have an Endorsement Gradeset (i.e. it does not require an Endorsement), then the Endorsement Grade is pre-populated with 'Not Applicable' value, which is a valid entry for an Endorsement that is missing entry validation.
No Submission Indicates a withdrawn Candidate.

The Grade Entry screen refreshes and the information in the Status Bar updates. In this case, you must validate the Grade entry by clicking the Validate button.

Centre User - Select Grade/Rank

  • Clicking the Save for Later button to save the details but not move to the next stage.
  • Clicking the Cancel Changes button to discard any changes since the last save and the table is updated accordingly.
  • Click the Validate button which checks for Duplicate Grade/Rank combinations across the Awards for a Subject, because Duplicated Ranks are not permitted across the same Grade for a Subject.
  • Clicking the Submit button (only enabled when the Validate button has been clicked and the entire cohort has a Grade and Rank, and Ranking has no Grade/Rank Duplicates.) 

A data validation check is then made to confirm that the Rank is contiguous for each Grade commencing at '1'. If not, a message is displayed outlining the gap(s) (including '1'), and the list is re-displayed for resolution. If the validation is successful, a message is displayed confirming submission.

Once confirmed, the Centre/Subject set is submitted for approval by the Centre Administrator, and the Centre User no longer has access to the list.
